Summary of Coaches Meeting Held 2/1/2010

 

 

1) Bob Bogen from Cape Fear was unable to make the call but had sent an earlier apology. As Cape Fear U19 is not yet registered with USA Rugby there was concern that they might not be intending to fulfill their fixtures.
Since the meeting Robert Joseph received confirmation that
Cape Fear was doing all it could to raise a team and would get to as many matches as possible. Richard Ridewood wrote to Bob explaining that the other clubs would help on a week by week basis to ensure his players got a game by sharing players, using B teamers to supplement etc. However, CYR did require that Cape Fear renew its USA Rugby registration by 2/4/2010 and CIPP what players they had.   

2) The Souths tournament has moved to
Furman, SC but is now on the weekend of April 24th thus coinciding with our finals weekend. Due to this fact and the apparent continuation of bad weather it was decided to extend the season.

April 17th - becomes a make-up date

May 1st - first round of play-offs

May 8th - Finals Day


Action -
Raleigh as hosts and U15 committee to be informed by RR

3) Action - All teams to send directions to home field to R Ridewood.


Action - RR to put on website and send to all coaches.


4) EMT - document prepared by Adam Angulo concerning the provision of EMT at games. All OK except the actual definition of an EMT.
Action - R Joseph to send a copy of high school sports requirements for certified athletic trainers

Action - R Ridewood to seek advice from Triad Club member who trains first aid, cpr, EMT as to how defines and EMT and what certifications are required.

Action - Adam Angulo to take these points and incorporate into his document


5) Serrs is providing referees for the games. Have noted there will be a shortage and will have to overcome those as they occur. Serrs to be paid directly for referees.
Action - Jonathan Worrall and new emergency board to ensure there is no delay with these payments.


6) Due to success of the recent Serrs/NCHSRA rugby course it was decided that another should be arranged for March. Chapel Hill/Triad/Matthews all confirmed that participants would be sent.

Action - Pete Lamuraglia to discuss with
Wake Forest if we could use their facility for the course
Action - Robert Joseph to facilitate the course with Serrs.



 

 

 

 

 

 

Summary of Coaches Meeting Held 1/18/10



1) Board - Jonathan Worrall spoke for the board
a) confirmed the board had not met in 6 months
b) stated that clubs really needed to organize their own season leaving NCYR for strategic planning and running the Elite program.

b) did not know the financial situation

c) admitted board needed reforming with a new President, Secretary, Treasurer and representation from NCHSRA, U19 Clubs and U15 clubs. Offered no plan or timescale as to how and when this would take place.

d) told us that Neil Redgard did go to the Youth Conference in Dallas. Most significant development was that USA Rugby agreed to return a portion of the CIPP funds to the SBO's. No percentage or amount decided but will help with funding of NCYR leaving each club to use its own funds to sustain its own growth.

e) admitted that PO Box had not been opened recently. Neil Redgard has the only key. Paul Maxwell and Chic? are trying to access over next few days.

f) Stated that clubs should not pay even the reduced fees of $150 for u19 clubs and $100 for U15 clubs until the board had been reconstituted.

g) Action - Jonathan agreed to contact SERRS to have them schedule referees wherever possible for the U19 games.

h) Jonathan confirmed referees would be paid through NCYR - though this contradicts an earlier statement from Neil Redgard saying home teams should pay.


2) Teams - Union County, Cape Fear, Chapel Hill, Triad, MRC, Raleigh were present for full meeting. Monte McCormick briefly joined confirming that VC Gold was going to participate this season.

a) A potential reprimand was discussed for Vance due to their continued failure to remain in contact with the league/other teams despite many and frequent attempts to contact them. This was not actioned at this time.

b) Action - Charlotte clubs to provide Paul Maxwell with exact details of games/times so he can schedule EMT

c) Action - All clubs to provide Richard Ridewood with field and time for games so he can provide a schedule to Jonathan for SERRS. Will update details onto NCYR website.

d) Home team responsibilities clearly defined

- Provide Field and time

- Provide EMT's (see later note)

- Referee - SERRS will attempt to schedule but its the home team that has responsibility of ensuring the referee is there

- B team - will provide enough time on the field to at least allow the opportunity of one period of a B/U17 team game to be played

- Third Half - food and refreshments provided for travelling players and coaches

e) The following clubs committed to compete in the Souths tournament if they qualify/are chosen - Chapel Hill, Union County, Raleigh, Triad, Matthews
f) Action - it was assumed Neil Redgard had not contacted the regional organizers so Jonathan agreed to contact them to see if NC will have 2 seeds. The premise is that Alabama never sends a team so the state of the previous year's champions gain an extra spot.

3) EMT - some discussion was held as to what exactly constitutes EMT.

Action - Adam Angulo agreed to write up a clear definition of what is an EMT and what qualifications we expect that person to have.


4) Player Eligibility

a) Everyone reminded that we are following the USA Rugby definition - player should be under 19 years of age on September 1st 2009.

b) Also reminded that if anyone has played a college or mens team game that would lead to a Championship then that player becomes ineligible.

c) It was agreed that the coaches would formulate a 'gentleman's agreement' where before a game they would offer details of players who had left high school who would be playing that weekend. This is simply a protective measure to allow coaches to consult their own parents and players and field a more age appropriate team if needed.

d) Action - Steve Mcreavy and Robert Joseph to draft a document clearly defining the eligibility rules.
d) Registration documents with CIPP details to be available to the opposing coach before each game.


5) CYR Tournament

a) Some concern as to who might have registered for the tournament that we are unaware of because said documents are in the PO Box.

b) Hence point 1 c) becomes important

c) Paul Maxwell requests that teams notify him by email of their intention to play in the tournament. Do still send in the registration paperwork.

d) Paul confirmed going to run U19/U15/Girls brackets. A question was raised about U17 teams - Paul confirmed that U17 teams would be placed in an appropriate bracket.

Summary of U19 Sub Committee Meeting held 11/23/09

1) U19 Teams to be - Triad, Raleigh, Union C, Matthews, Highlanders, Cape Fear - + possibly Fayetteville and possibly Concord/Cabarrus

a) Letter of intent required by 12/4 confirming team will be participating

b) Payment of fees due by 1/8

c) Schedule to be set by U19 committee on 12/9 following team commitments

d) Likely to be a statewide competition rather than regional conference

e) Season to culminate in a 'finals day' event on 4/24. Raleigh preferred choice.

 

2) U15 Teams to be - Triad, Highlanders, Matthews, Union Co, South Charlotte, Raleigh, AG Middle, Hoke

a) schedule to be set by U15 committee once U19 schedule is set

 

3) Souths Tournament will take place the week after our Championship Game.

a) In order to give a team time to be adequately prepared for the Souths we shall have to select our representative team at the end of March.

b) Full criteria for this selection to be determined later.

c) Teams must indicate on their letter of intent whether or not they wish to be considered for this tournament - it is no small undertaking in terms of stretching a club both financially and its player resources.

d) Neil Redgard to contact organizers to understand if North Carolina is able to send 2 representatives.  

 

4) Team responsibilities - clubs to be financially responsible for

a) Fields - Paul Maxwell offered to coordinate booking of fields in Charlotte for those teams needing that service. MRC already has 3 set dates for home games.

b) EMT's - Charlotte teams to take on the CYR contract for EMT's. Teams must have an EMT at all games - failure to do so results in forfeit.

c) Referees - CYR to schedule referees through SERRS but each home team club will pay the referee on gameday.

 

5) NCYR league Fees - this years are significantly reduced as home teams take responsibilities detailed in point 3

a) U19 teams $150 each

b) U15 teams $100 each

 

6) Coaching and referee courses to be organized for early/mid January

 

7) The CYR is in need of a treasurer and a secretary - clubs asked to nominate volunteers to fill these positions
